How to Host a Successful Office Coffee Tasting Event

As the co-founder of The Coffee Run, I've had the pleasure of introducing countless offices to the wonderful world of specialty coffee. There's nothing quite like seeing a group of colleagues come together, eyes widening as they discover a world of new flavors and aromas from a drink that they have been consuming for many years. Today, I'm excited to share our expertise on how to host a successful office coffee tasting event.

At The Coffee Run, we believe that great coffee can transform workplace culture, boost morale, and even increase productivity. Our coffee tasting events are designed to do just that, while also being educational and, most importantly, fun! So, let's dive into the art of coffee tasting and how you can bring this experience to your office.

Why Host a Coffee Tasting Event?

Before we get into the details, let's talk about why you'd want to host a coffee tasting in the first place. First and foremost, it's an excellent team-building activity. In our experience, nothing breaks down barriers quite like bonding over a perfectly brewed cup of coffee!

But it's more than just social. These events are educational, helping your team appreciate the nuances of quality coffee. We've seen firsthand how this knowledge transforms office coffee culture. Suddenly, that bland brew in the break room just doesn't cut it anymore.

And let's be honest - it's also a great way to showcase what we at The Coffee Run can offer your office. But don't worry, we keep the sales pitch light. Our primary goal is to share our passion for great coffee.

Planning Your Coffee Tasting Event

Now, onto the planning. Timing is crucial - we usually recommend mid-morning when taste buds are alert but not overwhelmed by lunch. As for location, any space with good lighting and enough room for participants to move around comfortably will do. A long, narrow table, such as a conference room table or breakroom bar area, is the perfect place to host a coffee tasting event.

Group size matters too. We've found that groups of 10-15 work best, allowing for lively discussion without becoming unwieldy. We do cap all of our events at 20 participants to make sure every person gets the full experience. Don't fret about equipment or supplies - that's where we come in. The Coffee Run provides everything needed, from brewing equipment to tasting cups and of course, the coffee itself.

When it comes to selecting coffees, we like to offer a range that showcases different regions, processing methods, and roast profiles. It's amazing how a coffee from Ethiopia can taste so different from one grown in Colombia!

The Coffee Journey: From Seed to Cup

One of the most fascinating parts of our tasting events is exploring the journey coffee takes from seed to cup. We'll take your team on a virtual trip to coffee-growing regions around the world, explaining how factors like altitude, soil, and climate affect flavor.

We'll demystify terms like "washed" and "natural" processing, and show how these methods influence the coffee's taste. The roasting process is another crucial step we cover - it's incredible how a few degrees or seconds can dramatically alter a coffee's flavor profile.

And of course, we emphasize the importance of freshness. There's a reason we at The Coffee Run are sticklers for delivery dates!

Setting Up the Tasting Area

On the day of the event, we'll arrive early to set up. We arrange tables in a way that encourages movement and interaction. Each station will have a different coffee, with all the necessary equipment for brewing and tasting. And don't worry about mess - we've got that covered too.

The Tasting Process

Now for the fun part - the tasting itself! We follow a method similar to the Specialty Coffee Association's cupping protocol, but we keep it accessible and engaging for all participants.

We start with the dry aroma, having everyone smell the freshly ground coffee. Then we'll add hot water and let the coffee steep. The moment when we "break the crust" (pushing aside the floating grounds) is always a crowd-pleaser - the burst of aroma is incredible!

Then comes the tasting. We teach participants how to slurp coffee like pros (it's noisier than you'd think!) and how to identify different flavors. Our scoring sheet is a handy tool here, helping people put words to the tastes they're experiencing.

Throughout the process, we encourage sharing and discussion. There are no wrong answers in coffee tasting - it's all about personal perception and preference.

Engaging Participants and Fostering Discussion

Throughout the event, we encourage questions and curiosity. No query is too basic - we love explaining everything from why coffee bags have those little valves to debunking common coffee myths.

We also share fun coffee facts and trivia. Did you know that coffee was once considered so powerful that it was illegal in some parts of the world? These tidbits often spark lively discussions and debates.

Following Up After the Event

After the tasting, we gather feedback from participants. This helps us continually improve our events and gives us insight into your office's coffee preferences.

We provide resources for further learning, including some of our favorite coffee books and websites. And yes, we do offer special deals on the coffees we've featured - it's hard to resist taking home a bag of your new favorite bean!

Many offices find these tastings so beneficial that they schedule regular sessions. It's a great way to keep the team engaged and up-to-date on the ever-evolving world of specialty coffee.

Conclusion

Hosting a coffee tasting event is more than just a fun break from work - it's an opportunity to educate, engage, and energize your team. At The Coffee Run, we're passionate about sharing our love for great coffee, and we've seen firsthand how these events can transform office coffee culture.

So why not give it a try? Whether you're a small startup or a large corporation, a coffee tasting event can be a delightful and rewarding experience for your team. And remember, we're here to help every step of the way.

After all, at The Coffee Run, we believe that every office deserves great coffee - and the knowledge to appreciate it.
